Proposal Coordinator | Saginaw

The Proposal Coordinator will assist with the preparation and submission of winning proposals and presentations. In this role, the Proposal Coordinator will work with cross-functional team members to help respond to Requests for Proposals (RFPs), Requests for Qualifications (RFQs), Requests for Information (RFIs) and manage the proposal development process to ensure on-time delivery of compelling, compliant, and well-written proposals and presentations.

The position involves researching, writing, and producing a high volume of client-facing documentation on behalf of our company in support of the firm’s business development efforts. This role will successfully communicate and collaborate with a variety of internal stakeholders including, Project Management, Sales Teams, company leaders, and other subject matter experts, as needed – and thus, is a highly visible role.

The Proposal Coordinator should exhibit strong writing skills, excellent attention to detail, and the ability to generate creative ideas while working both independently and collaboratively. The successful candidate is expected to be a self-starter, multitasker who works well under pressure, and follows through on tasks. We are looking for a strong team member who leads by example and keeps the team informed of changes.

Responsibilities
  • Analyze RFQs, RFPs and RFIs to support and/or lead the development and submission of winning responses by working with bid/sales teams, internal experts, and contracted partners, as required.
  • Participation in proposal/presentation kickoff and strategy meetings for proposal and presentation development.
  • Work closely with business development teams, estimators, and project managers to assist with the development and application of “win strategies and themes” (considerate of strategic relationships, competitor intelligence, etc.) and articulate this message within the proposal and/or presentation.
  • Solicit management reviews and approvals during proposal and presentation development
  • Monitor proposal content to ensure compliance to submission requirements, evaluation criteria, and technical requirements.
  • Research and gather information to include corporate information, service-offerings, relevant experience of the firm and its proposed team, and other materials, as required.
  • Support the maintenance, augmentation, and improvement of the firm’s library of reusable components, templates, and processes to reduce response time and improve quality on future submissions.
The ideal candidate would have
  • BS/BA degree, or equivalent in relevant experience.
  • Proven ability to work across organizations with effective communication and project management skills.
  • Proven attention to detail.
  • Excellent communication, writing, and grammar skills.
  • Ability to work in a deadline-conscious, results-driven environment.
  • Strong familiarity with Adobe InDesign and Microsoft Office Suite.

Spence Brothers, a General Contractor and Construction Manager is looking to fill a Project Engineer position to service our Great Lakes Bay market, based from our Saginaw office. There are a variety of tasks, as well as a variety of skills necessary to be successful in this important role within our company.

Responsibilities
  • Manage submittal process for all Saginaw based projects
    • Develop submittal logs
    • Collect, review and submit LEED information
    • Manage submittal process utilizing Procore
    • Review submittals prior to submission
    • Track and make follow up calls to subcontractors and architect
    • Visit project jobsites as needed
    • Assist Superintendents with jobsite tasks
  • Assist with closeout process
    • Prepare closeout logs
    • Contact subcontractors and coordinate their submissions
    • Review closeouts
    • Assemble closeouts manuals
  • Assist with document management for Saginaw-based projects
    • Import and process drawings into Procore
    • Import and process specifications into Procore
    • Facilitate document scanning and storage into Procore
  • Assist with Preconstruction & Estimating
    • Participate in drawing and specification review process
    • Develop Value Engineering ideas and create logs
    • Attend Prebid Meetings

This position is with our Great Lakes Bay Region Office, located in Saginaw, Michigan but would estimate projects throughout Michigan. There are a variety of tasks, as well as a variety of skills necessary to be successful in this important role within our company.

Responsibilities
  • Perform quantity take offs from plans and specifications
  • Prepare hard bid general contract (GC) bids
  • Prepare concrete and general trades bid category bids
  • Attend pre-bids, jobsite walk thru meetings, and post-bid meetings
  • Assist corporate and project management to determine what types of projects to bid
  • Assist Project Managers in buyout and issuing subcontracts
  • Provide technical assistance in negotiating contracts, change orders, etc. as required
The ideal candidate would have
  • 5+ years of commercial construction experience with an emphasis in estimating
  • Four-year degree in an engineering or construction related field (Preferred)
  • Proficiency in Microsoft Office
  • Proficiency with industry standard scheduling software (Primavera, MS Project, etc)
  • Local experience and contractor knowledge
  • Strong negotiation & dispute resolution skills required
